FUNCTIONS & GROUP BOOKING POLICIES & PROCEDURES

1.    ROOM RENTAL FEES:  Our schedule of room rental fees is predicted upon factors pertaining to your groups program (ex. sleeping rooms contracted and catering requirements).  Standard meeting room rental charges are $200 per section per day.  Should the group’s agenda change, the Hotel has the right to renegotiate room rental. Established times and programs are followed per this agreement.  The patron is responsible for abiding by these schedules as the Hotel may have commitments for function space prior to or following the arranged program.

  1. FUNCTION ROOM ASSIGNMENTS:  Function rooms are assigned in accordance with anticipated attendance.  Reduction in attendance may necessitate reassignments to a more suitable function room at the hotel’s discretion.
  2. FOOD & BEVERAGE REQUIREMENTS:  The Hotel reserves the right to inspect and control all private parties, meetings, receptions, etc. being held on premises.  All food and beverage requirements for any event must be supplied by the Hotel Catering Department pursuant to a separate Banquet Event Order.  Menu prices do not include applicable taxes or service charges.  The catering office requires 50% payment made by three (3) months prior to the function/event.  Estimated balance is due three (3) weeks prior.  Final guaranteed number of guests is due three (3) working days prior to event or original numbers will apply.  Functions occurring Monday and Tuesday must have attendance figures submitted by the preceding Thursday at 12:00 pm noon. This guarantee is considered a financial commitment.  Once given, the guarantee is not subject to reduction and charges will be made accordingly.  The hotel will prepare to serve five (5%) percent above the guaranteed number.  ANY EXTRA FOOD LEFTOVER BY YOUR GROUP MAY NOT BE TAKEN OFF THE PROPERTY.  Menu selection, room assignments, and all other arrangements must be received two (2) weeks prior to the function.
  3. ALCOHOLIC BEVERAGES:  The Holiday Inn West as a licensee is responsible for the administration of the sales and service of alcoholic beverages in accordance with the South Carolina ABC Commission’s regulations.
  4. TAX & GRATUITY:  Food and Beverage are subject to an 18% service charge.  Food and beverage, gratuity, room rental, and audiovisual equipment are subject to a state sales tax.  The applicable South Carolina state sales tax of 7.5% will be added to the banquet check.  By state law, South Carolina state sales tax will be added to the total cost of the function, including the service charge.
  5. CANCELLATION:  Group food and beverage functions are subject to a cancellation fee in the event of cancellation less than ninety (90) days prior to the first function date.  Liquidated damages will be based at 50% of lost revenue occurring from the cancelled food and beverage event(s).  Cancellations received within fourteen (14) days of the first function date will be subject to a 75% liquidated damages fee.
  6. CHANGES IN SET:  Any changes in room set without appropriate notice of 24 hours before the start of the corresponding event will be subject to an additional fee of up to but not exceeding the contracted meeting room rental rate.  In the event that meeting room rental has been waived, a fee of up to 50% of the established meeting room rate will apply.  These changes will be posted to the Master Account.
  7. SECURITY:  The Hotel may request that the customer obtain and pay for bonded security personnel when valuable merchandise or exhibits are displayed or held overnight in the Hotel.  Security personnel may be provided at the expense of the patron.  All outside security guards provided by the patron shall be subject to the prior approval of hotel management and must show proof of possession of liability insurance.
  8. PERMITS AND LICENSES:  Customer is wholly responsible for obtaining or maintaining of necessary permits or licenses needed for their functions.

  10. The Hotel shall not be liable for nonperformance of this contract when such nonperformance is attributed to labor trouble, disputes, or strikes; accidents; government (Federal, State, and Municipal) regulations of or restriction upon travel or transportation; non availability of food, beverages, or supplies; riots; natural emergencies, acts of God, and other causes emanated herein or not, which are beyond the reasonable control of the Hotel’s performance.  In such an event, the Hotel shall not be liable to the customer for any damages, whether actual or consequential which may result from such nonperformance.
  11. Notwithstanding any other provisions of this agreement, owner and/or manager of this Hotel shall be relieved from all requirements hereof, and this agreement shall terminate if owner shall sell, transfer, or otherwise convey its interest in this Holiday Inn Hotel, provided the guest has been given at least thirty (30) days notice of transfer by owner.  Then owner may assign all of its rights and obligations under this agreement to the new owner who shall then be solely responsible for performance hereunder, and prior owner shall be relieved of all obligations and responsibilities under this agreement upon transfer of all advance payments and deposits received by owner to the new owner.

NOTE:  FULL PAYMENT IS DUE PRIOR TO DEPARTURE FROM THE HOTEL.  Hotel policy stipulates that a Credit Card Authorization Form be completed and returned in order to hold and guarantee availability and meeting space.  Should guests depart from the hotel with an outstanding balance for rooms, food and beverage, or any other charges pertaining to the group or its participants, the balance due will be charged to the credit card authorized.  Guest has the option to make payment by a company check, cashier’s check, money order, cash or credit card, however the Credit Card Authorization sheet must be completed and returned regardless.  No personal checks are accepted.  The hotel requires a 45-day clearance on all checks.
